By completing your reservation, you agree to the following rules and regulations to ensure a smooth and pleasant stay at our hotel.

1. Booking and Confirmation
Bookings can be made through our website, by phone, or via email. To confirm your reservation, we require the following information
- Full Name
- Date of Birth
- Address
- Phone Number
- Email address
- Payment Details
2. Payment Terms
A 50% deposit is required to confirm a future booking, with the remaining balance due before the check-in date. Full payment is required for bookings made for the same date as the reservation. EFT payments are accepted up to 3 days before check-in; however, EFT will not be accepted 3 days before check-in
3. Individual Cancellation Policy
- Partial Refund: 50% refund for bookings cancelled up to 24 Hours before check-in
- Full Refund: 100% refund for bookings cancelled 48 hours before check-in
- Non-Refundable Cancellation: Guest will forfeit their payment if they cancel on the day of Arrival
Group Booking Cancellation Policy
- Cancellation Deadline: Cancellation for group bookings (5 or more rooms) must be made at least 7 Days before the arrival date to avoid any penalties
- Partial Cancellation: If a group booking is cancelled between 7 to 2 days before the arrival date, a cancellation fee of 50% of the total booking amount will be charged
- Late Cancellation: In the event of a no-show, a fee equivalent to the first night's stay for the group.
- Modification Policy: Any modifications to the group bookings, such as changes in the number of rooms or dates, must be made at least 2 days before the arrival date. Modifications made less than 2 days before arrival may be subject to availability and additional charges
4. Refund Policy for Cancellations
- Refunds for cancellation will be processed within 7 days after receiving all relevant signed documents from the guest
- Please email reservation@staymenlyn.co.za for the relevant documents and requirements for the refund to be scheduled

- Reservation Number
- Copy of ID/Passport
Confirmation of the bank account
5. Check-in and Check-out
- Check-In Time:14:00
- Check-Out Time: 10:00
- Early Check-In: Available with prior approval from the hotel, subject to an additional fee.
- Late Check-Out: Available with prior approval from the hotel, subject to an additional fee.
6. Child Policy
Children under the age of 16 must be accompanied by an adult at all times while on the premises.
7. Facility Access:
- Swimming Pools: Children under 16 must be supervised by an adult(18+ years) at all times. They are allowed to use the pool from 7:00 am until 21:00pm
- Gym: For health and safety reasons, children under 16 are not permitted to use the gymnasium.
- Other Areas: Children under 16 must be accompanied by an adult in all other areas of the hotel, including the restaurant, lounge, and recreational areas.
The policy ensures the safety and well-being of children while allowing them to enjoy the hotel's amenities under proper supervision.
8. Force Majeure
We shall not be held responsible for any failure to perform our obligations under this agreement if such failure is due to unforeseen circumstances beyond our control, including but not limited to natural disasters, war, strike, severe weather conditions, or other acts of God. In such cases, we will notify you as soon as possible and take reasonable steps to minimize any disruptions.
9. Guest Responsibility and Damages
Guest are responsible for any damages caused to hotel property during their stay. We reserve the right to charge for any repairs or replacements required. Guests are also encouraged to secure their belongings, as the hotel is not responsible for any loss or damage to personal items.
10. Smoking
Smoking is prohibited in all indoor areas of the hotel. Designated smoking areas are available.
11. Privacy Policy
We value your privacy and take all necessary steps to protect your personal information. We will only use your data to process your booking and for communication regarding your stay.
12. Governing Law
These terms and conditions are governed by the laws of South Africa. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts located in Pretoria.
13. Amendments to Terms and Conditions
We reserve the right to modify or amend these terms and conditions at any time. All charges will be communicated to guests via email or on our website. Continued use of our services constitutes acceptance of these modifications.
